Compare the real total, not only the room fee
Ask what the quoted price includes: tables, chairs, setup time, cleanup, staff, activities, food, gratuity, and taxes. A higher package price can be the better value when it replaces several separate vendors.
Questions worth asking
- How early can the host arrive?
- Can outside food or a bakery cake be brought in?
- Is the space private or shared?
- What happens if attendance changes?
- Is parking straightforward?
- Are there accessibility considerations?
- What is the weather backup for outdoor plans?
Visit at roughly the same time of day as the event when possible. Traffic, noise, lighting, and parking can feel very different on a Saturday afternoon than on a weekday morning.
